Lead Clickz
Help & guides/Owners & managers

Owner’s operations manual

Everything you need to set up your studio, run the day, get paid and grow, all in Studio. Start with “Getting started”, then use the rest as a reference.

Getting started

Your first hour in Studio.

Sign in to Studio

Studio is the back office for your studio. You sign in on your own website with your email and password, and land straight in Studio.

your-website.com/login

  1. Go to your-website.com/login (or the address Lead Clickz gave you).
  2. Enter your “Email or username” and “Password”, then tap “Sign in”.
  3. You land in Studio. Bookmark it, or better, install the Studio app (see “Get the Studio app”).
  4. Forgot your password? Tap “Forgot your password?”, enter your email, and type the code from the email with your new password.
Good to know
  • Use the same email Lead Clickz set as the owner. That is what links you to your studio.
  • You stay signed in for 30 days on the same device.

A quick tour of Studio

The menu is grouped the way a front desk thinks: Schedule, Front desk, Clients, Your menu, Sell, Grow, Money and Settings.

Studio menu (left on a computer, “More” on a phone)

  1. “Schedule” is home: today’s numbers, the launch checklist, “Needs your attention” and the calendar.
  2. “Front desk”: “Requests”, “Messages”, “Checkout”, “Waitlist” (and “Walk-ins” or “Classes” if your business uses them).
  3. “Clients”: your client list and each client’s card (plus “Forms” if you use them).
  4. “Your menu”: “Services” and “Team”.
  5. “Sell”: “Store”, “Memberships” and “Courses”.
  6. “Grow”: “Website”, “Articles”, “Pages”, “Videos” and “Community”.
  7. “Money”: “Payments”, “Reports” and “Team pay”. Then “Settings” at the bottom.
  8. On a phone, the bar along the bottom shows Schedule, Clients, Checkout and Messages, and switches Checkout for “Requests” when requests are waiting. “More” opens the full menu.
Good to know
  • Press “/” or ⌘K (Ctrl K on Windows) anywhere to search for a client, a service or a page, or to start a “New sale”.
  • Your team members see a smaller menu: no Settings, Website, Store, Payments or other setup pages.

Follow the “Get ready to launch” checklist

The checklist on Schedule walks you through the setup in order and shows what’s next.

Studio → Schedule → “Get ready to launch”

  1. Open “Schedule”. The checklist shows “x of y done · Next: …”.
  2. Tap “Start” on the next step. The steps are: “Add your services”, “Add your team members”, “Set working hours”, “Add your logo”, “Set booking rules and deposits”, “Bring in your client list”, “Connect payments” and “Put your website live” (plus forms if your business uses them).
  3. Come back to Schedule after each one. It ticks itself off.
Good to know
  • “Hide this checklist” hides it on that browser only. It disappears for good once everything is done.

Get the Studio app on your phone

Studio installs on your phone like an app, with no app store. You need it for booking request alerts.

Studio menu → “Get the Studio app”

  1. On your phone, sign in to Studio.
  2. iPhone: open it in Safari, tap Share, then “Add to Home Screen” and “Add”.
  3. Android: tap “Get the Studio app” and confirm, or use the browser menu (three dots) → “Install app”.
  4. Open Studio from the new icon on your home screen from now on.
Good to know
  • On iPhone, alerts only work from the home-screen app, so install it first.

Turn on booking request alerts

Get a notification on your phone the moment a client requests a time.

Studio → Requests → “Turn on alerts”

  1. Install the Studio app first (see “Get the Studio app”), then open it from your home screen.
  2. Go to “Requests” and tap “Turn on alerts”.
  3. Allow notifications when your phone asks.
  4. You’ll see “Request alerts are on for this phone”. Do this on each phone you use.
Good to know
  • If it says notifications are blocked, allow them for the site in your phone or browser settings, then try again.
  • You also get an email for each request, and the “Requests (N)” count shows in the menu.

Turn on two-step sign-in

Protect your account (and your business): after your password, Studio asks for a 6-digit code from an authenticator app on your phone. Someone who learns your password still can’t get in.

Studio → Sign-in & security

  1. Install an authenticator app on your phone if you don’t have one: Google Authenticator, Microsoft Authenticator, 1Password or Authy.
  2. In Studio, open “Sign-in & security” and tap “Turn on two-step sign-in”.
  3. In the app, tap + and scan the QR code. (Can’t scan? Tap “Enter this key instead” and type the key.)
  4. Type the 6-digit code the app shows for “Lead Clickz Studio” and tap “Confirm and turn on”.
  5. From now on, sign in with your email and password, then the newest code from the app.
Good to know
  • Codes change every 30 seconds. If one is refused, wait for the next one and check your phone’s time is set automatically.
  • New phone? Turn it off with a code from the old phone, then set it up again on the new one.
  • Lost your phone? Ask Lead Clickz support to reset it. They’ll confirm it’s you first.
  • Connecting QuickBooks requires two-step sign-in on your account.
  • Encourage your managers to turn it on too: they can see and change a lot.

Setting up your studio

Do these once. Change them any time.

Add your logo, colors, contact details and social links

Your business profile feeds your website, emails, the client app and your Studio.

Studio → Settings → the card with your business name

  1. Open “Settings”.
  2. In the card titled with your business name, add your “Logo”, “Brand color”, “Tagline”, “Phone”, “Email”, address and “Time zone”.
  3. Add every social account you use: “Instagram”, “Facebook”, “TikTok”, “YouTube”, “Pinterest”, “Snapchat”, “Threads”, “X (Twitter)”.
  4. Tap “Save details”.
Good to know
  • Only the owner can edit this card.
  • Add a business email. When clients reply to an email from your studio, it goes there.
  • Use a PNG or SVG logo with a transparent background for the best result.

Add and edit your services

Your services menu powers online booking, your website and checkout.

Studio → Services

  1. Open “Services” and tap “+ Add a service”.
  2. Fill in “Name”, “Menu section”, “Short line”, “Description” and a “Photo”.
  3. Under “Lengths and prices” add each option: “Name”, “Minutes”, “Clean-up”, “Price ($)”, and “Deposit ($)” if it differs from your default. Use “+ Add a length” for more.
  4. Tick “Clients can book online” and “Show on the menu”.
  5. Tap “Add to the menu”.
Good to know
  • Pills tell you the state: “Bookable” (online), “Enquiry only”, “Hidden”, “Removed”.
  • “Remove service” archives it. Tick “Show removed” to “Bring back” a service.
  • Fill in “Service page on your website” to help you show up on Google and in AI answers.
  • Use “Follow-up messages” to send aftercare and a rebook reminder automatically.

Add your team and their services

Each team member gets a profile, the services they do, and their own hours.

Studio → Team → “+ Add a team member”

  1. Open “Team” and tap “+ Add a team member”.
  2. Add a photo, “Name”, “Title”, “Email”, “Mobile”, “About” (shown on your website) and a “Calendar color”.
  3. Under “Services they do”, tick their services (none ticked means every service).
  4. Tick “Clients can book them online” and “Active”.
  5. Tap “Add to the team”, then set their hours (next guide).
Good to know
  • Add yourself too if you take clients.
  • Give someone the title “Front desk” or “Reception” so they get booking request alerts as well.

Set working hours, shifts and time off

Online booking only offers times when someone is working, so hours come first.

Studio → Team → a person → “Hours & shifts” / “Time off”

  1. Open a person and go to “Hours & shifts”.
  2. Under “Regular weekly hours”, tap “+ Add” on each working day and set the times. Add two blocks on one day for a break.
  3. Tip: set Monday, then tap “Copy Monday to Tue–Fri”.
  4. Tap “Save weekly hours”.
  5. For one-off days, add “Dated shifts” (“Day”, “From”, “To”, then “Add shift”). A shift replaces the weekly hours that day.
  6. For vacations, open “Time off”, fill in “From”, “To” and “All day” or the times, then tap “Add time off”.
Good to know
  • You can also block time straight on the calendar with “Block time”.

Give your team their own login

Each team member signs in to see their own day, clients, hours and pay. Managers see everything except who has access.

Studio → Team → a person → “Login”

  1. Open the person in “Team” and go to the “Login” tab.
  2. Enter “Their email” and choose “Access”: “Team member (their own schedule)” or “Manager (runs the day to day)”.
  3. Tap “Give access”.
  4. Tell them yourself. No email is sent. Send them the “Signing in for the first time” team guide.
  5. They go to your-website.com/login, tap “Email me a sign-in code instead” and sign in with that email. Then they set a password with “Forgot your password?”.
Good to know
  • Their card shows “Login invited” until they sign in, then “Has a login”.
  • Only the owner can make someone a manager or an owner. Managers can add team members.
  • To remove access: “Settings” → “Who has access” → “Remove”.

Manage who has access

See everyone who can sign in to Studio, and add owners and managers or remove access.

Studio → Settings → “Who has access”

  1. Open “Settings” and scroll to “Who has access”.
  2. Each person shows their email and role (“Owner”, “Manager” or “Team member”). Pending invites show “Waiting for them to sign in”.
  3. To add an owner or manager, enter “Add someone”, choose “As”, then tap “Add”.
  4. To remove someone, tap “Remove” and confirm.
  5. Tick “Manages videos & comments” to let a team member approve videos and comments.
Good to know
  • Removing access doesn’t delete their appointments or history.

Set booking rules and deposits

Decide how far ahead clients can book, the notice you need, cancellations, deposits and whether bookings need your OK.

Studio → Settings → “Booking rules”

  1. Open “Settings” → “Booking rules”.
  2. Set “Start times every”, “Shortest notice”, “Book up to”, “Free cancellation until” and “Upcoming visits per client”.
  3. Choose a “Deposit”: “No deposit”, “Percent of the price” or “Fixed amount”.
  4. Leave “Confirm online bookings automatically” OFF if you want every online booking to come in as a request you accept (recommended).
  5. Tap “Save rules”.
Good to know
  • Deposits are only taken once Stripe is connected (see “Connect Stripe”).
  • “Free cancellation until” also controls when clients can change or cancel online themselves.

Choose which alerts clients get

Turn each automatic client notification on or off, and set when reminders go out.

Studio → Settings → “Client alerts”

  1. Open “Settings” → “Client alerts”.
  2. Tick the ones you want: “Visit confirmed”, “Reminder before a visit”, “Visit time changed”, “Visit cancelled”, “Order ready for pickup”, “Order shipped”, “New message from you”, “Receipt after checkout”, “A time opened (waitlist)”.
  3. Choose “Send the reminder” (2 hours to 3 days before).
  4. Tap “Save alerts”.
Good to know
  • Clients get each alert in the app (if they turned alerts on) and by email.
  • Texts need a Lead Clickz texting number. They only go out between 9am and 7pm and are never sent twice when the app alert already reached them, except the reminder.

Automatic messages: reviews, rebooking, birthdays

Studio can ask for reviews, remind clients to rebook, wish happy birthday and win back clients you haven’t seen.

Studio → Settings → “Automatic messages”

  1. Open “Settings” → “Automatic messages”.
  2. “Ask for a review”: set the hours after the visit and paste “Your review link” (your Google review link).
  3. “Time to rebook”: days after the last visit.
  4. Turn on “Happy birthday” and “We miss you” (days since the last visit).
  5. Tap “Save automatic messages”.
Good to know
  • Offers and reminders like these only text clients who opted in to news and offers, at most once a week.

Stripe lets you take deposits, card payments, store orders, memberships and payment plans. The money goes straight to your own Stripe account.

Studio → Payments

  1. Open “Payments” (owner only).
  2. Tap “Connect with Stripe” and follow Stripe’s steps: business details, bank account and ID.
  3. You come back to Studio. “Stripe is checking your details” can take a few minutes.
  4. When it says “Stripe is connected”, you can take payments.

  • If the Stripe link expired, tap “Continue with Stripe” again.

  5. Under “Send with”, tick the services (none means every service).
  6. Tap “Save form”.
Good to know
  • To send a form by hand, open the client’s card → “Forms” → “Send a form”, then share the link.
  • Signed forms are saved on the client’s card.

Studio → Settings → “Accounting · QuickBooks”

  1. Open “Settings” → “Accounting · QuickBooks”.
  2. Tap “Connect QuickBooks” and sign in to QuickBooks.
  3. Use “Sync now” any time, or “Disconnect” to stop.
Good to know
  • QuickBooks asks you to turn on two-step sign-in first (Studio → Sign-in & security). It takes a minute.
  • If it says QuickBooks is being set up, Lead Clickz is still switching it on. Ask support.
  • Reports also has “Download for your accountant”.

Running the day

What you and the front desk do every day.

Use the Schedule and calendar

Schedule shows today’s numbers, what needs your attention, your own day and the full calendar.

Studio → Schedule

  1. The top shows today’s appointments, money booked and who’s next.
  2. “Needs your attention” links to requests to confirm, unread messages, videos and comments to approve, and products running low.
  3. In the calendar, switch “Day”/“Week”, use the arrows or “Today”, and pick “Everyone” or one person.
  4. Tap an appointment to see the details and actions. Drag it to move it.
Good to know

Good to know
  • Only owners and managers can cancel. Team members can confirm, check in, complete and mark no-shows on their own appointments.

  2. To take it, tap “Accept [time]”. They’re told straight away.
  3. If that time doesn’t work, tap “Suggest other times”, pick up to 3 open times, add “A note for them” and tap “Send N times”.

Good to know
  • Owners, managers, the front desk and the requested team member get the alert by app, email and in Studio.
  • Turn on alerts on your phone: see “Turn on booking request alerts”.

  2. Type in “Write a reply (Enter sends)” and tap “Send”. Shift+Enter adds a new line.

Checkout builds one ticket per visit (services, products, gift certificates, tips) and takes one or more payments.

Approve videos from your team and clients

Videos from team members and clients wait for your approval before they show.

Studio → Videos → “Waiting for your approval”

  1. Open “Videos”. “Waiting for your approval (N)” lists new ones (also in “Needs your attention”).
  2. Watch it, then tap “Approve” or “Decline” (you can add a note).
  3. Approved client videos show with a “Client” badge and only their first name.

Name your Videos page, bubbles and channels

Give the page its name and intro, and list every social channel so it shows across your site.

Studio → Videos → section card · “Your channels”

  1. In “Videos”, fill in the “Section name” and “One line about you”, then “Save”.
  2. Add your link-in-bio story and a special offer if you like.
  3. In “Your channels”, add every network you use and tap “Save channels”.
  4. Bubbles come from your service menu sections. Add sections in Services to add bubbles.

Loyalty and referral rewards

Reward clients for coming back (a punch card or points) and for sending friends. They see their progress in your app, and rewards come off at Checkout.

Studio → Loyalty & referrals

  1. Open “Loyalty & referrals”.
  2. Tick “Reward clients who come back”. Pick “Punch card: 1 per visit” or “Points: 1 per $1”, then set “Every” and “they get $ off”.

  4. Tap “Save”.
  5. At Checkout, when a client has rewards, tap “Use rewards” and it comes off the total.
Good to know
  • A visit counts when it’s paid at Checkout with a service on it.
  • Each client gets their own link in “My account → Rewards” to text or post. The friend’s gift lands when they book from it; the sender’s reward unlocks after the friend’s first paid visit.
  • To add or take away rewards by hand, open the client under Clients → “Rewards”.

Send an email or text to your clients

Pick a group (everyone, those who haven’t been back, birthdays, a service…), write a message, test it and send it in your name.

  2. Under “Who gets it”, pick the group. The count shows how many it reaches.

  4. Tap “Send me a test”, then “Send to N” and “Yes, send”.
Good to know
  • Only clients who said yes to news and offers get campaigns. Everyone gets a one-tap way to stop.
  • Texts go out between 9am and 7pm, at most once a week, and never to anyone who replied STOP.
  • Review requests, rebooking reminders, birthdays and win-backs can also send by themselves: Settings → “Automatic messages”.

Teaching your clients

The clients’ guide is written so you and your team can show clients the app in a minute. Share the link, or open it on your phone and walk them through it.

Get clients onto the app

Share your-website.com/app. Clients install it in seconds with no app store and get booking, videos and notifications in one place.

  1. Put your-website.com/app in your bio, texts, emails and on a sign at the desk.
  2. At checkout, ask: “Do you have our app? It takes ten seconds.” Open your-website.com/app on their phone and tap “Download the app”.
  3. Then have them turn on alerts so they get confirmations and new videos.
  4. Send them the clients’ guide (your-website.com/guides/clients) for everything else.
Good to know
  • The best moment is right after a great visit, while they’re still in the chair.

Walk a client through the app in 60 seconds

Install, alerts, book, and where to find messages and videos. Each step in the clients’ guide has a “How to show it” line.

  1. Install: your-website.com/app → “Download the app”.
  2. Alerts: tap “Turn on alerts” and allow notifications.
  3. Book: the “Book” tile → service → time → “Book now”. It’s a request until you accept it.
  4. Videos: the middle “Videos” tile plays the latest looks like TikTok, with “Book this look”.
  5. Messages: “Message us” reaches your team in Studio.
